Think in four deadlines, not one

Most trip prep failures come from trying to do everything the night before. A booking mistake can be fixed a week out; the day before, you have no options left. This checklist splits preparation into four deadlines: one week out, three days out, the day before, and departure day. At each stage, you verify things while they can still be fixed.

One week out is about bookings and documents: transport, hotel, appointments - and for overseas trips, passport, visa and insurance. Three days out is the work itself: materials, business cards, gifts for clients. The day before is packing and charging. Departure day should be final checks only.

For the packing itself, use the dedicated lists: the domestic trip packing checklist and the overseas trip packing checklist build an item list matched to your trip.

Frequently asked questions

When should I start preparing for a business trip?

One week out for domestic trips, two weeks to a month for overseas. Start even earlier if you need a passport or visa.

What is the single most important day-before task?

Packing and charging. Top up your phone, laptop and power bank before going to bed.

What should I check on the morning of departure?

Transport status, plus wallet, business cards and - for overseas trips - your passport. One minute at the door prevents most disasters.

Why back up materials the day before?

In case your laptop will not start or a file will not open on site. Cloud plus USB is the safe combination.

When should I arrange a gift for the client?

By three days out, so you can still handle sold-out items or delivery delays. Individually wrapped, long-lasting sweets are the standard.
